Duties will include:
- Together with the Manager HR & IT coordinate of the activities of the Human Resources function to maximise internal customer satisfaction.
- To advise on HR-related issues including policy, programmes and best practice in an effort to maintain a harmonious employee and industrial relations climate.
- To manage the administrative functions.
Qualifications, Experience & Skills:
- Qualifications and Experience Required:
- A Bachelor’s Degree in Human Resource Management or equivalent,
- At least 3 years’ Human Resources experience
Skills and Other Attributes Required:
- A working knowledge of the local Labour Laws and human resources principles and practices
- Excellent organizational and project/event management skills
- Excellent interpersonal skills and the ability to exercise diplomacy, tact, professionalism and discretion; and a pleasant manner in interacting with staff and/or internal/external customers.
- Passion for internal/external customer service.
- Ability to work with employee and company information while maintaining the highest levels of confidentiality.
- Effective oral and written communication skills.
- High proficiency with technology including desktop publishing and the Microsoft Office applications.
- Supervisory experience would be an asset.

- Employee queries regarding pay, terms and conditions of employment, welfare and wellness issues, procedure, training etc. are dealt with promptly, courteously accurately and confidentially
- In collaboration with the Manager, Human Resources & IT as necessary, advice is promptly given to employees including in relation to interpretation and application of policy, procedure, grievance-handling and discipline
- Support is given to Management and Supervisors in following correct documentation procedures for instances of formal discipline
- The Manager, Human Resources & IT is alerted to any potential incidents or grievances that may require intervention by the Manager, Human Resources and/or other relevant Manager/Supervisor
- Lead recruitment activities to ensure staffing requirements are addressed in a timely manner.
SATISFACTORY PERFORMANCE WILL HAVE BEEN ATTAINED WHEN:
- Liaise with Department Managers and Supervisors to set dates for recruitment projects.
- Abide by the HR SOP for Recruitment & Selection.
- Ensure the proper processing of new and exiting employees
SATISFACTORY PERFORMANCE WILL HAVE BEEN ATTAINED WHEN:
- Ensure the HR Administrative Assistant is conducting the onboarding process as per HR SOP
- Ensure the HR Administrative Assistant ios conducting the exit process as per SOP
- Audit Files as needed.
- Assist in the maintenance of the Performance Management System
SATISFACTORY PERFORMANCE WILL HAVE BEEN ATTAINED WHEN:
- Guidance and support is given to Managers and Supervisors in administering the formal and informal appraisal process e.g. provision of job descriptions, appraisal forms and guidelines etc.
- Assistance is given to the Manager, Human Resources & IT in coordinating submission of completed appraisal forms, compiling appraisal forms and reviewing same to identify key performance issues, trends in performance and training requests and requirements.
- Assistance is given to the Manager, Human Resources & IT in preparing a Company training plan through identifying/sourcing training providers to address performance issues and support employee development plans.
- Support is given in developing, implementing and reviewing formal and informal Employee Recognition Schemes.
- Promotion of Health and Safety awareness among employees
SATISFACTORY PERFORMANCE WILL HAVE BEEN ATTAINED WHEN:
- All accidents are recorded and follow up is conducted as needed.
- Assistance is provided in ensuring safety rules are adhered to and recommendations are made for sanctions to be applied when necessary.
- Approved First Aid supplies are available and located in specified accessible points.
- Assistance is provided in ordering and issue of safety gear and equipment.
- Lead and coordinate the administrative functions of the Human Resources Department efficiently in accordance with Group policy and procedure
SATISFACTORY PERFORMANCE WILL HAVE BEEN ATTAINED WHEN:
- HRPlus is maintained and updated with starters and leavers.
- Training is provided to all new starters.
- Manage the HR Administrative Assistant to ensure all relevant HR SOPs are followed correctly.
- Send out monthly report to Managers and Supervisors.
- Implement new HR modules as directed by Head Office.
- Conceptualise, plan and execute staff meetings and other events in collaboration with administrative personnel from other Divisions and the Manager, Human Resources & IT
SATISFACTORY PERFORMANCE WILL HAVE BEEN ATTAINED WHEN:
- Budgets for meetings/events are prepared and submitted for approval, and reconciled on completion of the activity.
- Logistics including venue, equipment, refreshments etc. are confirmed.
- Any required information, materials or resources for the meeting or event are obtained and available for distribution.
- Meeting/event attendees are informed of meeting/event particulars and reminded of requirement for their attendance.
- Assist the Manager, Human Resources & IT with strategic and other initiatives as required.
SATISFACTORY PERFORMANCE WILL HAVE BEEN ATTAINED WHEN:
- Assistance is provided in researching, developing and implementing initiatives and special projects e.g. strategic plans for the Department, the Company Disaster/Emergency/Contingency Plan, and public relations initiatives.
- Participate in Performance Management System and support training and development initiatives as recommended
SATISFACTORY PERFORMANCE WILL HAVE BEEN ATTAINED WHEN:
- There is full participation in the appraisal process.
- All training sessions recommended by the Manager, Human Resources & IT are attended, wherever possible.
- Ensure that the working environment is kept well, clean, tidy, aesthetically appealing and in good repair.
SATISFACTORY PERFORMANCE WILL HAVE BEEN ATTAINED WHEN:
- The work environment, including the dedicated filing and storage areas, are kept within company standards, sanitary and clean.
- Perform any other related duties as directed by the Manager, Human Resources & IT
